Rubi provides AI video interviews to proprietary trading firms. This policy explains what personal data we process, why, and the rights you have. It covers visitors of rubikyt.com, users of the Rubi dashboard, and traders who take an interview.
1. Who is responsible
For interviews and trader data, the prop firm that invites the trader is the controller and Rubi acts as its processor, under a data processing agreement. For our website, marketing and dashboard accounts, Rubi is the controller. Contact us at privacy@rubikyt.com.
2. Data we process
Traders taking an interview
- Identity and contact details provided by the firm, such as name, email, country and account identifiers.
- Webcam video, microphone audio and a recording of the entire shared screen during the session.
- Answers, transcripts and their English translation, and optional feedback.
- Integrity signals such as tab switches, paste events, screen share interruptions, and technical data such as IP address, browser and connection speed.
- Trading activity synced from the firm's platform: accounts, trades and payouts.
Firm users
- Name, work email, role, organization and authentication data.
- Actions recorded in the audit log, including decisions and notes.
- Billing contact and company details.
Website visitors and leads
- Details you submit in our demo and contact forms: name, email, firm, role, expected volume and message.
- Essential technical logs needed to deliver and secure the website.
3. Why we process it
- To run interviews and produce reports on the firm's instructions (performance of the firm's contract with us).
- To provide, secure and support the dashboard (contract and legitimate interest).
- To answer demo and contact requests (legitimate interest, or steps prior to a contract).
- To meet legal, tax and accounting obligations.
Reports are decision support. The firm's analysts make the final decision about a trader, and Rubi does not take decisions with legal effect on its own.
4. Artificial intelligence
We use third party AI models to conduct the interview, transcribe and translate speech, and draft reports. Providers process data only to deliver the service to us and do not use it to train their general models under our agreements. The learning memory built from analyst decisions stays within the firm's own workspace.
5. Sharing
We share data with the inviting firm, with the subprocessors listed on our security page, and with authorities when the law requires it. We do not sell personal data.
6. International transfers
Some subprocessors are located outside the European Economic Area. Where required, transfers rely on the European Commission's standard contractual clauses or an equivalent safeguard.
7. Retention
By default, interview sessions are kept for 60 days and video recordings for 30 days, then deleted. Each firm can configure shorter or longer periods. Account and billing records are kept for the duration of the contract and as long as the law requires afterwards. Leads are kept up to 24 months.
8. Security
Data is encrypted in transit and at rest, isolated per organization, and media is served through short lived signed URLs. Access is limited by role and recorded in an audit log.
9. Your rights
Depending on where you live, you can ask to access, correct, delete or export your data, object to or restrict processing, and complain to your data protection authority. Traders should contact the firm that invited them first; we will assist the firm and forward any request we receive.
10. Cookies
rubikyt.com only uses cookies and local storage that are strictly necessary to deliver the site. The dashboard uses authentication cookies to keep you signed in.
11. Changes
We will post updates here and notify customers of material changes by email.
